What are Entry Flows?
Entry Flows in Scoot refer to the pattern and logic by which users enter rooms within a Scootaverse. Traditionally referred to as "spawning," Entry Flows can be customized according to different scenarios and requirements. There are two main types of Entry Flows in Scoot:Default Entry Flow:
The Default Entry Flow defines the pattern that users follow when entering a room in the Scootaverse. The default option is a spiral pattern that begins near the center of the room and expands outward. Additionally, there is an option to use a grid pattern, where users are placed in groups based on the room's capacity and evenly spread throughout the room. The Default Entry Flow is ideal for general scenarios and situations where specific customization is not necessary.Custom Entry Flow - People Proximity:
The Custom Entry Flow provides a higher level of customization and allows you to apply special logic for user entry. It involves designating "Group Formers" and "Group Fillers" to create a more tailored experience for users. Group Formers are users who initiate a group, while Group Fillers are users added around the Group Formers. The Custom Entry Flow is suitable for webinars, All Hands meetings, networking events, and scenarios where a specific grouping logic is desired. How to Use Entry Flows in Scoot:
To set up and use Entry Flows effectively, follow these steps:1. Access Entry Flow Settings:
Log in to your Scoot account and navigate to the Admin or Organizer dashboard.
Click on "Entry Flows" and select "Create a New Entry Flow".
2. Select your Group Placement Type:
Group Formers:
If you prefer to use the Default Entry Flow, simply select the desired pattern (spiral or grid) from the available options.
This is suitable for most general events and meetings, providing a straightforward entry for users without the need for specific grouping logic.
Custom Entry Flow Configuration:
To enable Custom Entry Flows, choose the "People Proximity" option from the Entry Flow settings.
Select either the "Account Users" option or the "Rules-Based" option, depending on your use case.
- Account Users as Group Formers (For Webinars):
If you opt for "Account Users," they will act as entry points for non-account users joining the room. This setting is ideal for webinars or events where you want specific users (e.g., company representatives) to lead each group. - Rules-Based Entry Flow (For All Hands and Networking):
Choose the "Rules-Based" option to customize entry based on user metadata.
Upload a CSV file containing properties like department, location, or title that match users to specific conditions (e.g., Department Equals Sales).
Users meeting the defined conditions will be designated as Group Formers, while others will be treated as Group Fillers. - Starting Point Entry Flow (For Guided Experiences):
For creating a journey map where users enter at a specific location, select the "Starting Point" option. All users will enter through the Starting Point, regardless of their initial room choice. Keep in mind that there is no fallback to the default entry flow if the Starting Point area is full.
Notes:
When using Custom Entry Flows, the drop-down menu to select a room in the waiting room will be disabled, but the "Enter" button will remain enabled for users to enter the Scootaverse.
If a custom entry flow condition cannot be met, the system will revert to the Default Entry Flow pattern.
Entry Flows in Scoot offer a dynamic and customizable way for users to enter rooms within a Scootaverse. By choosing the appropriate entry flow type and configuration, you can optimize the experience for different events, webinars, and meetings. Whether you prefer a standard pattern or a rules-based approach, Entry Flows empower you to provide participants with a more organized and engaging virtual experience.
